Who looks after your information

Enquiries and orders

We use your contact details, delivery address, selected options, messages and photographs to answer enquiries, prepare artwork, take payment and fulfil orders. This is necessary to take steps at your request and perform our contract with you. We keep order and accounting information separately where needed for legal record-keeping, and use relevant information to resolve queries and protect our business against misuse.

Where your photograph goes

This website and checkout are provided by Shopify. Photograph uploads are handled by Upload-Lift, operated by Cloudlift GmbH. The photograph is transferred when you select it, before payment. Its link and your selected options are attached to the basket and order. We download customer work to our working storage to prepare and check it. Payment providers process payment details; we do not receive your full card number. Delivery services receive the details needed to deliver your order.

Shopify and Cloudlift use service infrastructure that may process information outside the UK. Their privacy information describes their services and international processing: Shopify privacy information and Cloudlift privacy information. We do not sell customer photographs or use them for marketing without separate permission.

How long we keep photographs

Uploads not used in an order are held in Upload-Lift’s temporary upload storage for 30 days, then deleted under its retention process. Ordered files are archived separately so that they remain available for the work.

We keep original uploads, working files and finished artwork for 24 months after order completion, including for reprints, then delete them from active storage through a manual review process. This includes Upload-Lift’s order archive, any remaining temporary upload copy, and our downloaded and working copies. We record completion and the deletion due date; this is not an automatic deletion service.

Deletion from active storage does not mean immediate erasure from every backup. Provider-managed backup copies may persist until the provider’s backup cycle expires; we cannot promise an immediate or precisely dated purge of those copies. If a backup is restored, files already due for deletion must be removed again. Order and accounting records are separate from photograph and artwork files.

Reprints and your choices

Keeping artwork for reprints does not give us permission to display it publicly. Marketing use requires separate permission, which you can withdraw. You can ask for access, correction, deletion, restriction or a copy of your information, or object where applicable, by contacting us. We consider requests alongside legal record-keeping requirements. You may complain to the UK Information Commissioner’s Office.

Website storage

Shopify uses cookies and similar storage for storefront functions such as the basket, checkout and security. Upload-Lift uses browser storage to manage your upload. You can control browser storage in your browser settings; blocking it may prevent these functions from working.
